Privacy Policy
Last updated: 10 October 2026
This policy explains what personal data profbalaji.in collects, why we collect it, who handles it and what choices you have. It is written in plain language for students and for their parents or guardians.
1. Who we are
This website, profbalaji.in, is run by Prof. Dr. S. Balaji Science Academy, Kanchipuram, Tamil Nadu, India (“the academy”, “we”, “us”). The academy decides why and how the personal data described here is used. For anything in this policy, write to contact@profbalaji.in.
2. What we collect
If you only browse the public pages
You do not need an account to read the public pages. We do not run advertising or analytics trackers on this website. Like any website, the services that deliver the pages (see section 5) can see technical information such as your IP address and browser type.
If you sign in and create a student account
- From your Google account: your name, email address, profile photo link and a unique account ID. Sign-in is by Google only; we never see or store your Google password.
- What you tell us when you apply: your name (pre-filled from Google, and you can change it), your board and class, and the subjects you choose, which together decide your access level.
- Account status: whether your application is pending, approved, rejected or suspended, the access level given to you, any reason the academy records for a rejection, and the dates and the administrator of any decision.
When you practise and take mock tests
- Practice: for each question you answer, the question, the answer you gave, whether it was correct, the time you spent, the date, and for written-answer questions, whether you marked your own answer as right or needing more practice. We also keep a running count of questions answered and correct for each chapter.
- Mock tests: the paper you attempted, the questions you were given, the answers you selected, any questions you marked for review, when you started, when you submitted and whether the submission was late. A short-lived record is also kept while a test is in progress.
- Written answers: answers that you write on paper are not uploaded to this website. They are handed to the academy for evaluation.
Stored on your own device
- After you sign in, your name and email are kept in your browser’s local storage so the header can show you as signed in without delay. Signing out removes them.
- While a mock test is open, a backup of your selected answers is kept in your browser’s local storage so a refresh does not lose your work.
- Google’s sign-in service also keeps the technical information it needs to remember your sign-in in your browser.
If you contact us
If you email, call or message us, we keep what you send and your contact details so we can reply.
3. Why we use it
- to identify you, review your application and give you access to the right practice questions and mock tests;
- to let you practise, take timed tests, resume an unfinished test and see your results and progress;
- to understand how each question performs. These question-level statistics are worked out from answers and do not show student names, emails or IDs;
- to run and protect the service, prevent misuse and keep tests fair;
- to reply to your enquiries and to tell you about your enrolment and access.
We do not sell your data, we do not show advertising, and we do not use your data to profile you for advertising.
4. Consent, and students under 18
We use your personal data on the basis of your consent, given when you sign in with Google and submit your application, and where the law allows, to meet legal obligations. You may withdraw your consent at any time by writing to us. Withdrawal does not affect what was done before, but we will not be able to continue your access.
Many of our students are under 18. A student under 18 must have the consent of a parent or legal guardian before creating an account, and by creating an account the student confirms that this consent has been given. The academy may contact the parent or guardian to confirm it, and may refuse or remove an account where it has not been given. We do not track or monitor children’s behaviour for any purpose other than providing the learning service described above, and we do not direct advertising at children. A parent or guardian may write to us at any time to see, correct or delete a child’s data or to withdraw consent.
5. Who handles your data
We do not share your data with anyone for their own purposes. These services process data for us to run the website:
- Google Firebase (Authentication and Firestore database, with the database located in Mumbai, India) holds accounts, profiles, practice records and test records. The Firebase and sign-in code is loaded from Google’s servers on every page of this website, so Google receives technical information such as your IP address when a page loads.
- GitHub Pages hosts the website files.
- ImageKit stores and delivers images used in questions and explanations. These images contain no student information, but ImageKit sees the IP address of the browser that loads them.
- Cloudflare runs a small service that the academy’s administrator uses to upload question images. It is not used by students.
- jsDelivr delivers the open-source library that displays mathematical and chemical formulas on some pages.
- YouTube, WhatsApp, LinkedIn, Substack and Google Business are linked from the site. If you follow those links, their own privacy policies apply.
Some of these providers may process data outside India. We may also disclose information when the law requires it.
6. Who can see your data inside the academy
Only the academy’s administrator can see student names, emails, class, subjects, status and access levels, in order to approve, manage and support students. Analytics screens show question-level figures only and no student identity. Other students cannot see your account, answers or results.
7. How long we keep it
We keep your account and learning records while you are an enrolled student. After your academic year is over, your student record is permanently deleted by the academy; this also removes your practice history, progress counts and test records. Your Google sign-in identity inside Firebase may remain until the academy removes it, and we will remove it on request. If you sign in again after deletion you start as a new applicant. Question-level statistics kept by the academy do not contain your name, email or ID. Emails you send us are kept for as long as needed to deal with your request.
8. Your rights
You can ask us to tell you what personal data we hold about you, to correct it, to delete it, or to withdraw your consent. A parent or guardian can do this for a child. Write to contact@profbalaji.in from the email address on the account, or from the parent’s or guardian’s email if it is for a child, and we will reply within a reasonable time. If you are not satisfied with our reply, you may take the matter up with the authority provided under Indian law.
9. Security
Access to the database is controlled by Google sign-in, by approval from the academy and by security rules that stop a student from reading another student’s records. Answers to mock test questions are not sent to your browser until the test is submitted. No online service can be made completely secure, so we cannot promise absolute security. If you notice anything that looks wrong, please tell us at once.
10. Changes to this policy
We may update this policy as the website changes. The date at the top shows when it was last updated. If a change is significant, we will tell signed-in students on the website or by email.
11. Governing law
This policy is governed by the laws of India, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, as they apply.
